Facilities Administrator - Tigers Childcare
Blanchardstown (With Centre Visits As Required) | Full-time | Permanent | €30000-35000
Role Summary
The Facilities Administrator supports the Facilities & Maintenance Team to ensure Tigers Childcare environments are safe, compliant, and of high quality across all centres. The role combines administrative support, statutory compliance tracking, and on-site audit responsibilities. The postholder will ensure high standards are upheld in line with childcare regulations and organisational values, contributing to a safe and welcoming space for children and colleagues alike.
Duties/Responsibilities
Administrative Support
- Coordinate contractor scheduling, communication, and documentation management.
- Maintain accurate records of site activities, inspections, service requests, and compliance documentation.
- Support procurement activities including tracking of invoices and monitoring budgets.
- Assist with data entry, reporting, and analysis of facilities performance metrics.
- Track statutory compliance requirements including Fire Safety, H&S, hygiene, and building maintenance.
- Support preparations for regulatory inspections (e.g. Tusla, HSA, Fire Officers).
- Liaise with Centre Managers to schedule maintenance and audits with minimal disruption to childcare services.
Site Audit & Inspection
- Conduct regular site visits and inspections across all Tiger Childcare centres to assess safety, compliance, cleanliness, and operational standards.
- Document and report findings; escalate any non-compliance or urgent risks requiring corrective action.
- Monitor cleaning, hygiene, and infection control across all centres.
- Ensure facilities are child-safe (e.g. safe storage, furniture, playgrounds, etc.).
- Collaborate with internal teams and contractors to resolve facilities issues efficiently.
- Support sustainability initiatives including energy use, waste management, and materials efficiency.
- Contribute to the development and maintenance of audit tools and templates.
Other
- Any other duties company management may from time to time deem necessary and reasonably require.
Person Specification
Essential
Qualifications & Experience
- 1-3 years’ experience in facilities administration or multi-site auditing.
- Proven ability to manage contractors, documentation, and maintenance scheduling.
- Proficient in Microsoft Office (Excel, Word, Outlook) and data tracking systems.
- Full, clean driving licence and access to own vehicle.
Skills & Competencies
- Strong organisational and coordination skills with the ability to manage competing priorities.
- Excellent interpersonal and communication skills for engagement with centre managers, contractors, and regulatory bodies.
- High attention to detail and a strong commitment to safety, quality, and compliance.
- Ability to work independently and travel regularly across multiple sites.
- Fluent in English, both spoken and written.
Desirable
Qualifications & Experience
- Experience working within childcare, education, or healthcare environments.
- Knowledge of Irish statutory compliance standards in regulated care settings (e.g. Fire Safety, Health & Safety, hygiene).
- Familiarity with audit tools, reporting templates, or facilities management systems.
- Exposure to supporting external inspections (e.g. Tusla, HSA).
Skills & Competencies
- Awareness of infection prevention and control standards in childcare settings.
- Understanding of sustainability initiatives (e.g. energy efficiency, waste reduction) as they relate to facilities.
